Every check-in collects personal data: a name, a phone number, a company and sometimes a photo or a signature. In the UAE, personal data is protected under Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data, and free zones such as DIFC and ADGM have their own data protection rules. Your legal team should confirm exactly which rules apply to you. The checklist below covers good practice that applies to almost every reception.
This article is general guidance, not legal advice.
1. Collect only what you need
- Ask for the details you actually use: usually name, company, host and contact number.
- Make extra questions specific to the visitor type. A contractor may need an induction answer that a client doesn't.
- Only capture photos or ID details if your security policy requires them.
2. Keep visitor details out of sight
- Replace open logbooks, where each visitor can read previous entries.
- Position kiosks and screens so other people in the lobby can't read them.
- Make sure printed badges show only what is needed, such as name, host and date.
3. Control who can access visitor records
- Give reception, security and facilities access only to the locations and information they need.
- Use individual accounts rather than shared logins, so you know who viewed or exported data.
- Remove access promptly when staff change roles or leave.
4. Decide how long to keep visitor data
- Set a retention period that matches your security and legal needs, and apply it consistently.
- Delete or anonymize old records once that period ends.
- Store signed NDAs and agreements for as long as they are needed, and no longer.
5. Be open with visitors
- Show a short privacy notice on the check-in screen explaining why you collect their details.
- Offer the notice in Arabic and English.
- Tell visitors who to contact if they have questions about their data.
6. Plan for requests and incidents
- Know how you would find and export a visitor's records if they ask for them.
- Have a process for reporting and handling a data incident.
- Review your visitor data practices at least once a year.
A digital visitor management system makes most of this checklist easier: records are hidden from other visitors, access is controlled by role, and data can be found, exported or removed when needed. Learn more about Zapio VMS features or talk to our team in Dubai.
